We’re seeking a compassionate, motivated Intake Coordinator to join our team. Our environment is collaborative and clinician-centered, giving you the flexibility to shape your therapeutic style and build a niche that reflects your passion and strengths.

The position is virtual/work from home and helps manage 5 office location referrals and incoming client inquiries. Intake Coordinator will work on a team with other coordinators and has a managing supervisor.

Job Hours: Part-time or full-time, hourly

Job Type: 1099 Contractor role only

Pay: $20 per hour

Job Requirements and Expectations

Client Communication & Phone Engagement

  • Serve as the primary contact for incoming calls, referrals, and service inquiries for potential clients.
  • Conduct phone-based intake screenings, gathering demographic information, presenting concerns, and occasional safety assessments.
  • Provide clear information about services, scheduling processes, insurance, and resources.
  • Demonstrate active listening, empathy, and professionalism in every interaction.

Collaborative Care Coordination

  • Work closely with therapists, psychiatrists, and support staff to determine appropriate clinical placements.
  • Communicate regularly with internal administrative teams and the Intake supervisor to update them on client needs, scheduling changes, and emerging concerns.
  • Participate in staff meetings, case discussions, and interdisciplinary collaboration to support seamless client transitions.

Administrative & Organizational Duties

  • Maintain accurate and timely documentation for all client interactions, referrals, and follow-up tasks.
  • Maintain efficient workflow with minimal delays in service.
  • Organize and track referral sources, intake data, and required documentation for audits or reporting.
  • Ensure compliance with HIPAA, agency policies, and confidentiality standards.
  • Assist with onboarding new clients, collecting forms, verifying insurance, sending appropriate consent forms, and preparing charts for clinicians.

Required Skills & Qualifications

  • Strong verbal communication skills, especially in phone-based environments.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Ability to collaborate effectively across multidisciplinary teams.
  • Compassionate and patient-centered approach to working with diverse populations.
  • Proficiency with electronic health records (EHRs), scheduling systems, and basic administrative software, such as Google or Microsoft Office, including Word, Excel, Outlook, and Data Entry.
  • Experience in behavioral health, social services, medical reception, or related fields preferred. Experience or awareness of legal policies surrounding medical consent.

Job Qualifications

Education, Licenses & Certifications:

  • Bachelor’s degree in social work, psychology, or related fields from an accredited university preferred.
  • Florida Driver’s License and valid work authorization

Experience:

  • At least one years of post-bachelor experience working with children or families in a medical or mental health setting.
  • Preferred (not required): previous experience with medical or mental health insurance verification, billing, customer service
  • Spanish speaking preferred, but not required
